How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:


Membership records 

The official membership list includes contact information about current and former members of the Club and information concerning payment of the subscriptions. Additional information concerning a member’s participation in club activities may also be included. 


Competitions Records

Records are maintained of the entries submitted by members to the Club’s monthly and annual competitions including: the photographs submitted, the scores awarded and the allocation of any trophies or awards. Records are also maintained of any entries submitted by the Club to any external competitions (i.e. those not organised by the Club itself). This information is held and managed subject to the specific rules or entry conditions applicable to the competition. Images could be shown on the club’s website.


Exhibitions and Events

Records are maintained of any entries submitted by members to any exhibitions and events organised by the Club including copies of any related photographs and any fees paid. This information is held and managed subject to the specific rules or entry conditions applicable to the exhibition or event. The BCC newsletter contains editorial material and may include contact details for those submitting material for publication.


General Business 

The Club may hold personal information for anyone who contacts it, or who the Club contacts for the purpose of conducting its general business. 



We also receive personal information indirectly, from the following sources in the following scenarios:


External Events

Where we host events with third parties we may hold records of any entries submitted by including copies of any related photographs. This information is held and managed subject to the specific rules or entry conditions applicable to the exhibition or event.

We may share this information with the Lancashire & Cheshire Photographic Union (L&CPU).


Legal Basis

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting dpo@boltoncameraclub.co.uk 

(b) We have a contractual obligation.

(c) We have a legitimate interest.


Data Retention

Records will normally be held for a minimum of eight years. The Club may retain historical archives indefinitely, for example but not limited to: records of meetings, handbooks, catalogues, awards and records relating to the general history of the club.

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.


You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
